JOB SPECIFICATION:

The Vacancy:
The Group is looking to appoint a Rural Administrator based at the Rural Estate Office in Southern Dorset. The role will report to the Rural Estate Manager and provide administrative support to the Rural Estate office.

Key Responsibilities of the Rural Estate Administrator:

  • Preparing formal documentation and managing associated admin for:
  • Residential property lets
  • Grazing licences
  • Garden licenses
  • Shooting agreements
  • Answer and screen incoming calls and where necessary take messages
  • Deal with contractor and tenant enquiries and where appropriate pass on to residential lettings as appropriate
  • Liaising with external letting agents
  • Performing credit checks and other statutory checks as required
  • Ensuring compliance with statutory regulations such as the tenant deposit scheme (TDP)
  • Maintaining the rent roll, issuing rent demands and liaising with finance department to ensure tenant accounts are up to date
  • Supporting the budgeting, planning and forecasting process in relation to the estate
  • Ensuring all information held is accurate and updated on Qube and is compliant with the company’s / data protection procedures
  • Ensure all mail incoming and outgoing is processed
  • Deal with clients over the telephone and in writing and build up effective relationships with them
  • Undertaking mapping utilising the PEAR system
  • Maintain an effective filing system for the office
  • Maintain and update an effective archiving system
  • Scan and file documents onto the computer system

IAGSA qualified or experienced Legal Secretary

Previous experience in Lettings Administration

Working knowledge of Microsoft Word, Excel and Outlook to an intermediate level

Financial understanding and highly numerate

Strong attention to detail

x

 

Self-motivated with the ability to work without close supervision

Employment Package:

 

Hours of work

Monday to Friday 9.00am to 5.30pm with 30 minutes for lunch each day.

Salary

£XXXXpa and to be reviewed annually from 1 April each year.

Pension

You will be auto-enrolled onto the Company Pension Scheme. Contribution rates are: X% Employer / X% Employee

You will automatically be entered in to a Death in Service scheme.

Company Sick Pay Policy

You are entitled to Statutory Sick Pay

Holidays

22 days per year plus public holidays rising 1 day per years’ service to 25 days. 

Period of Notice

One month in year one, two months thereafter.

Probation Period

There will be an initial probation period of six months.

Standard clause to be included in Contract of Employment.
