JOB SPECIFICATION:
The Vacancy:
The Group is looking to appoint a Rural Administrator based at the Rural Estate Office in Southern Dorset. The role will report to the Rural Estate Manager and provide administrative support to the Rural Estate office.
Key Responsibilities of the Rural Estate Administrator:
- Preparing formal documentation and managing associated admin for:
- Residential property lets
- Grazing licences
- Garden licenses
- Shooting agreements
- Answer and screen incoming calls and where necessary take messages
- Deal with contractor and tenant enquiries and where appropriate pass on to residential lettings as appropriate
- Liaising with external letting agents
- Performing credit checks and other statutory checks as required
- Ensuring compliance with statutory regulations such as the tenant deposit scheme (TDP)
- Maintaining the rent roll, issuing rent demands and liaising with finance department to ensure tenant accounts are up to date
- Supporting the budgeting, planning and forecasting process in relation to the estate
- Ensuring all information held is accurate and updated on Qube and is compliant with the company’s / data protection procedures
- Ensure all mail incoming and outgoing is processed
- Deal with clients over the telephone and in writing and build up effective relationships with them
- Undertaking mapping utilising the PEAR system
- Maintain an effective filing system for the office
- Maintain and update an effective archiving system
- Scan and file documents onto the computer system
